Reporting to the Manager of Fleet and Facility Analytics and M5 Support. This position monitors data interfaces between M5, SAP, and other applications (e.g., ROB, P6) to identify and investigate data errors, requiring advanced knowledge of databases, SQL, and systems management. Using specialized skills and advanced analytical techniques, it works alongside OCT to ensure key interfaces supporting billing, payroll, and supply chain function effectively.
This role optimizes the use of the M5 system to align with Fleet Services and City business needs by designing aligned business processes. Additionally, it serves as a point of contact for Assetworks Fleet Management Information System (M5) user support, handling inquiry resolution, issue investigation, access management, and advice.
This position is also responsible for reviewing and verifying payroll data prior to transfer to the payroll system, collaborating with supervisors and timekeepers to resolve time reporting issues, and post-transfer data validation. It requires strong data skills and understanding of payroll rules across 3 unions.
What will you do?
Guide users on navigating system features, screens, dashboards, and reporting tools
Update user documentation following software upgrades to reflect layout updates and enable adoption of new features
Manage user access administration, including provisioning new accounts, adjusting roles, disabling departing user profiles, and handling password resets
Respond to user inquiries, offer system usage guidance, and develop operational workarounds independently or in coordination with the Fleet Information System Administrator, end users, or vendor support
Serve as the primary contact for M5 interface operations, maintaining real-time and batch integrations with core COE systems (e.g., SAP, PeopleSoft, ROB)
Escalate complex interface issues to OCT when unresolvable internally by the Fleet Information Administrator
Evaluate integration requirements, prepare technical specifications, and conduct impact testing for core system updates or new M5 releases
Monitor interface management tools to resolve transmission errors and collaborate with staff to rectify data rejection causes
Review employee-reported hours for completeness, verify statutory holiday pay accuracy, and resolve issues before data is loaded into the payroll system via the interface. A strong knowledge of the 3 union Collective Bargaining Agreements and their payroll rules is essential
Collaborate with branch supervisors and timekeepers to ensure payroll time approvals are completed prior to pass-off, and provide guidance on handling exceptional situations
Reconcile payroll data between the Fleet System and the payroll system post-pass-off to confirm successful data uploads
Apply requested adjustments in the payroll system after pass-off and prior to the payroll cutoff deadline
Audit billing and system data to uncover business process or system errors affecting data quality
Pinpoint user behaviors resulting in data discrepancies and offer recommendations for training and coaching support
Log support tickets with the software vendor upon detecting system bugs causing errors
Assist frontline staff with proper data entry to maintain data integrity and facilitate smooth interface data transfers
Analyze business process challenges against system functionality to identify conflicts, partner with stakeholders on solution development, lead testing, and perform necessary analysis to ensure resolution
Perform related duties as assigned
Qualifications
University Degree in a related discipline such as Computer Science or Information Technology and 2 years of relevant experience in an Information Technology environment. Formal certification in the area of expertise is desirable
Minimum of 2 years of experience directly related to database querying, managing computer interfaces, data analysis and troubleshooting system issues
Oracle SQL is required
Assets:
Experience with SAP interfaces and M5 are assets
Experience in a Fleet environment is an asset
Skills required for success:
Knowledge of work methods, practices and terminology related to the Fleet Management Service industry and Fleet Management databases
Strong capability to bridge customer requirements and technical system specifications when resolving complex issues
Proficiency in conducting thorough research, rigorous testing, and comprehensive documentation
Aptitude for evaluating program interdependencies to deliver actionable, well-reasoned recommendations
Proven communication and collaborative skills
Skill in auditing extensive datasets (e.g., billing files) to maintain data accuracy and completeness
Proficiency with Google Workspace, Microsoft Office, and data extraction tools including SQL Developer, Crystal Reports, and Tableau
Solid project management abilities, with a focus on prioritizing work to consistently meet operational deadlines
Demonstrated ability to mentor colleagues and contribute effectively within a team setting

This position will work out of a facility that is not accessible via public transportation. A valid Class 5 license and access to personal transportation is recommended

Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
